Common Amazon bookkeeping problems

The bookkeeping issues Amazon sellers struggle with most.

Amazon’s payout model is different from a normal store. These are the problems we fix first.

Deposits don’t match sales

Amazon pays out net amounts after fees, refunds, ad charges and reserves, so sales and bank deposits rarely line up.

Fees and refunds lumped together

Recording one net deposit as “sales” hides what you really pay Amazon and distorts your margins.

Wrong COGS, wrong profit

Without landed costs and inventory values, the profit figure is a guess and tax figures can be off.

Reserves and timing gaps

Settlement periods cross month-ends and Amazon can hold back funds, which confuses monthly results.

Several marketplaces and currencies

Each marketplace and currency adds settlements, conversions and fees that need recording separately.

Messy books at tax time

Months of unreconciled data turn tax season into a rush, and catching up costs more than keeping up.

What’s included

UK VAT Bookkeeping SupportUK only

  • VAT-related records prepared and reconciled for agreed UK activity
  • Treatment reviewed for the business’s circumstances
  • Records ready for whoever submits your return
  • Registration, advice and submission need their own confirmed scope

Your scope, in writing. Your proposal identifies the business entity, marketplaces, sales channels, accounts and reports included: either the full books of the business, or the Amazon records within books your accountant maintains.

Works in your accounting software: typically QuickBooks Online or Xero, with an Amazon integration tool such as A2X or Link My Books to summarize settlements. We agree the setup and access before we start.

Two ways to start

Keep your books current, or get them back on track first.

Most sellers need ongoing monthly bookkeeping. If your books are behind, we start with a one-time clean-up.

Monthly bookkeeping

Ongoing reconciliation, recording and reports, closed each month.

  • Settlements, bank and card accounts reconciled
  • Monthly financial reports and summary
  • Inventory and COGS kept up to date
  • Tax-ready books at year end

Clean-up & catch-up

A one-time project for books that are behind, messy or never set up for Amazon.

  • Past settlements reconciled period by period
  • Miscategorized fees and deposits corrected
  • Opening inventory and COGS rebuilt from your records
  • Quoted after we review the period and records

Pricing: based on order volume, marketplaces, sales channels and the state of your books. We send a quote after a short review.

Monthly reporting

Understand your Amazon sales, costs and monthly results.

We work through an agreed monthly close, reconcile the accounts in scope and identify outstanding information before finalizing reports. Report dates are agreed in your proposal.
  • Profit and loss: sales, Amazon fees, ad spend and COGS shown separately
  • Balance sheet: cash, inventory, amounts Amazon holds and liabilities
  • Cash flow: why profit and cash in the bank differ
  • Product profitability: once product costs are confirmed
  • Open items: missing documents and questions, listed clearly

Web commerce pros created a really lovely design for our website. They also changed the layout for our images and updated/resized images so that the site is overall much more attractive. We have been receiving a lot of positive feedback from customers on the ease of use and the overall look of our site. In addition, we are very grateful to Roy for coming up with a creative solution for allowing customers to easily create their own quotes, which has been very helpful to both our operations and our customers.

Design & custom features

Webecommercepros are great web developers and good people. They moved our 1,000+ page website from our old platform to BigCommerce and did it fast and efficiently. They created all of our new artwork, 301 redirects, converted all of our products and more in record time at a very reasonable cost. We use them for all of our ongoing work like increasing load speed, updating our theme and shopping cart and site changes that we ask for. Highly recommend!

BigCommerce migration

We were in desperate need to move from Volusion to Big commerce as Volusion was not keeping up with all the available apps and Big commerce is a much user friendly platform for a small business like ours. I was really worried about the cost but found Web Ecommerce Pros and it was the best decision we made. They gave us a reasonable price, one that we could afford to do the transition from Volusion to Big Commerce and their service was outstanding. Very responsive, listened to our needs and we were able to move to Big commerce and have our website up and running with no issue. Even after a week of having our website live if there were some glitches on a link or image etc they were still helping to fix those kinks. Highly recommend. They are a very professional team. Further more I am now waiting on a quote from them to help us set up our products on Amazon.

FAQ

Amazon bookkeeping questions

Plain answers about bookkeeping, reports, software, tax and VAT.

Bookkeeping basics

It records your Amazon sales, fees, refunds, ad spend, inventory and other expenses from Seller Central in your accounting software, so your financial reports reflect what actually happened in the business.

Reconciles Amazon settlements, records fees and refunds correctly, tracks inventory and cost of goods sold, works through the monthly close for the accounts in scope, prepares reports and keeps the records ready for tax time.

Matching each Amazon settlement report, including sales, fees, refunds, reserves and adjustments, to the deposit that actually reached your bank, and explaining any difference.

Amazon pays out net amounts after referral and FBA fees, refunds, advertising charges, reserves and other adjustments. Reimbursements or released reserves can add to a deposit, and settlement periods don’t follow calendar months, so sales and deposits rarely line up.

COGS is the recorded cost of inventory sold during the period. We use your product-cost records and agreed accounting policy to determine which purchasing and inbound costs are included. Buying stock, holding inventory and other fulfillment, storage and operating expenses are recorded separately.
